Payments
The fourth job list contains a list of all payments within the job. From this list, all payment related activities are managed. Payments can be grouped and ordered by Ascending or Descending date.
While displaying this list, the summary information at the top of the screen, displays the total number of payments, as well as a summary of the total value of the payments.
From this portion of the application, the user has the ability to do the following activities:
- Add a payment
- Edit a payment
- Delete a payment
Adding and Editing Payments
To add new payments, press the “Add” button at the top of the list of payments. Pressing this button will cause the Add/Edit payment window to be displayed.
To edit an existing payment, touch the payment that is desired to be edited. Touching the payment will cause the Add/Edit payment window to be displayed.
The Add/Edit payment window contains the following entry options:
- Currency Selection – This button displays the currency for the payment. To change the currency to a different currency, select the button. This will display the Currency Picker, which will allow you to pick a different currency for the payment. The picker also allows you to modify the exchange rate for the payment that is being edited. Note: If the More->Currencies->Auto Update option is enabled, each time that a currency is selected, the application will retrieve the current exchange rate from the internet. Any adjustments to the exchange rate, including the auto updated rate from the internet, from this editor, will not directly affect other payments. However, if the “Update Preference” check box is selected, the Exchange Rate source value for the selected exchange rate will be updated within your preferences. Finally, the list of available currencies is determined based on the exchange rates that are defined within the application. The list displayed are those where the “From Currency” field matches the Preferred Currency within the application preferences. For example: If the Preferred Currency were defined as USD, and there were four exchange rates defined within the system (USD->CAD, CAD->ZBW, ZBW->CHI, USD->USD), the only currencies that would be available for the payments would be: USD and CAD.
- Amount – This is a numeric field for capturing the total amount of the payment.
- Payment Type - In addition to capturing the amount, there is a drop down button next to the amount field that allows the user to capture the means by which payment was received. Payment types that are available are:
- CHK – Representing the receipt of a check. If the check number is desired to be recorded, the notes section of the screen can be used.
- XFER – This option represents a wire transfer of funds. Additional details about the transfer can be recorded within the Notes section of the screen.
- DEP – This option represents a direct deposit of funds.
- Date – When selected, the date field will bring up a Calendar widget for selecting the date that the payment was received.
- Notes – The notes field allows additional information about the payment to be captured.
