Quick Reports
Quick Reports are a specific subset of reports that are often accessed by users of the application. To access these quick reports, long press on a job within the main screen of the application. From the menu, select the Quick Reports option. From this list, select the report that you would like to print. Once the selection is made, the report will be generated, then the user will be prompted for which email application that he/she would like to use to send the report. The report itself will be sent via email as a PDF attachment. Currently, there are three different quick reports available:
- Job Invoice – This report is a detailed report of all expenses, mileage, and time associated with the selected job.
- Client Summary – This report summarizes all the jobs that are associated with the client that is associated with the selected job.
- Hours Worked – This is a timesheet report that summarizes the hours that have been recorded within the job.
Job Invoice
The detailed Job Invoice is a complete summary of the selected job. The report contains the following information:
- High level Summary – Within this summary, the job total is displayed as well as the job name and purpose.
- Time – The Time summary contains the total dollar amount for all time entries as well as details about each time entry. All dollar amounts displayed within the time section are based on the billing rate that was entered for the time event as well as the billing increment for the Client. The detailed time records are displayed chronologically and are grouped by date.
- Mileage – The mileage summary contains a total dollar amount for all mileage entries as well as details about each mileage entry. All dollar amounts displayed within the mileage section are based on the current mileage reimbursement rate set in the application preferences. The detailed mileage records are ordered chronologically.
- Expense – The expense summary contains a total dollar amount for all expenses as well as details about each expense entry. This section also contains a picture of all receipts that are associated with expenses. The detailed expense records are ordered chronologically, and are grouped by date. This section also contains an aggregate summary of expenses segregated by both the payment method and the associated tag.
Client Summary
The Client Summary Report provides a high level report of all jobs related to a particular customer. The following information is contained within the report:
- Summary – Within the Summary section of the report, a grand total for all jobs is displayed as well as current rate information.
- Job Summaries – The Job Summaries section provides a complete summary of each Job that is associated with the Client. Each summary record contains the Job Name, Purpose, Grand Total, Total Time (in dollars), Total Mileage (in dollars), and Total Expenses.
Hours Worked
The Hours Worked report provides a typical time sheet for submittal of hours. It purposely excludes rate information to provide a detailed summary of the time associated with the job.
Additional Actions
In addition to many of the common actions defined at the beginning of this document, and in addition to previously discussed job actions, there are other actions that are available by selecting the device menu button:
Clients – This button will take you to Client Management, where you can add, edit, and delete Clients from your database. More details about this functionality can be found below.
Reports – This option will take the user to the main page of the report generator within the application. From here, the user can create a variety of reports in both PDF and CSV form. More discussion about this topic is discussed later within the Users Guide.
Currency Options – The application provides users the ability to use whatever currency they need to use. Options related to currencies can be found by selecting this action. More discussion about this topic will occur later in this document.
Backup – the ability to backup your data to either SD card or DropboxTM is accessible via this action. More information can be found below.
Restore - the ability to restore your data from either SD card or DropboxTM is accessible via this action. Again, more information can be found later in this document.
